Caretaking Operations Coordinator | $19/hour | Non-Union Position | Downtown Toronto | Starting Immediately
The Caretaking Operations Coordinator provides day-to-day operational and administrative support for custodial services across multiple facilities, ensuring environments remain safe, clean, and well-maintained.
This role ensures service delivery meets established standards, schedules, and contractual requirements while providing direct support to supervisors, frontline staff, and service providers.
The position plays a key role in work order coordination, inspections, staffing support, reporting, and quality assurance, helping to maintain consistent service levels and operational efficiency.

- Must be able to carry, push, and pull up to 50 lbs
Key Responsibilities
Operational Coordination
- Coordinate daily caretaking operations to ensure service levels are met
- Support cleaning schedules, special projects, events, and seasonal programs
- Monitor service delivery and escalate operational issues as needed
- Assist with emergency response related to spills, floods, biohazards, and similar incidents
Quality Assurance & Inspections
- Conduct regular site inspections to confirm cleanliness, safety, and compliance with service standards
- Document deficiencies, track corrective actions, and follow up on resolutions
- Support audits, compliance reviews, and performance assessments
Staffing Support
- Assist with daily staffing coordination, including call-ins, coverage, vacations, and schedule adjustments
- Support onboarding and orientation of new and temporary staff
- Maintain accurate staffing, attendance, and training records
Work Orders & Service Requests
- Receive, prioritize, and coordinate custodial work orders and service requests
- Ensure timely completion in line with service level expectations
- Maintain accurate records in the CMMS
Health, Safety & Compliance
- Support Occupational Health & Safety policies, safe work practices, and WHMIS requirements
- Assist with incident reporting, investigations, and follow-up
- Promote a culture of safety, professionalism, and respect
Administrative & Reporting
- Prepare reports related to inspections, staffing, service levels, and performance
- Maintain operational documentation, logs, and records
- Assist with supply usage tracking and inventory coordination
Qualifications & Experience
Required
- Post-secondary education in Facilities Management, Business Administration, or a related field, or equivalent experience
- 2–4 years of experience in custodial, caretaking, facilities, or building operations
- Working knowledge of custodial service delivery, cleaning processes, and equipment
- Experience coordinating staff, schedules, or service providers
- Proficiency with Microsoft Office and CMMS/work order systems
Preferred
- Experience in a large institutional or unionized environment
- Familiarity with APPA, ISSA, or similar custodial standards
- Experience supporting contracted services and vendor performance
- Knowledge of health and safety legislation and best practices
